The General Data Protection Regulation (GDPR), regulates the way in which certain data about individuals is collected, processed and retained. As part of our recruitment processes, Health Partners collects and processes personal data relating to job applicants. The Company is committed to being transparent about how it collects and uses this data and meeting its data protection obligations.
What information does Health Partners collect?
The Company will collect a range of information about you via CV, application form, through interviews or other forms of assessment. This information includes:
- your name, address and contact details, including email address and telephone number;
- details of your qualifications, skills, experience and employment history;
- information about your current level of remuneration, including benefit entitlements;
- whether or not you have a disability for which the organisation needs to make reasonable adjustments during the recruitment process;
- information about your entitlement to work in the UK;
Why does Health Partners process this personal data?
Health Partners has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from job applicants allows the Company to manage the recruitment process and assess and confirm a candidate's suitability for employment. This data would also be used in order to produce an offer of employment if your application should be successful.
For some roles, the Company is obliged to seek information about criminal convictions and offences. Where the Company seeks this information, it does so because it is necessary for it to carry out its obligations and exercise specific rights in relation to employment. An offer of employment may also be contingent on client specific security and vetting checks. Where this is applicable to a particular job role, further details will be discussed with you during the interview process.
If your application is unsuccessful the Company will keep your personal data on file in case there are future employment opportunities for which you may be suited. Health Partners will ask for your consent before it keeps your data for this purpose, and you are free to withdraw your consent at any time.
Who has access to this data?
Your information will be shared internally for the purposes of the recruitment exercise. This includes members of the HR team and the recruiting manager(s) involved in the recruitment process.
If your application for employment is successful, the Company may share your data with former employers in order to obtain references for you and with the Disclosure and Barring Service to obtain necessary criminal record checks. Further information on how your data will be held and processed as an employee of Health Partners will be provided in an ‘Employee Privacy Notice’.
How does Health Partners protect this data?
The Company takes the security of your data seriously. It has internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by other individuals within the business in the proper performance of their duties.
For how long does Health Partners keep this data?
If your application for employment is unsuccessful, Health Partners will hold your data on file for 12 months after the end of the relevant recruitment process. If you agree, the Company will keep your personal data on file to be considered for future employment opportunities after this 12 month period. If you choose to withdraw your consent, your data will be deleted or destroyed.
If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your personnel file and retained during your employment. The periods for which your data will be held as an employee are contained in the ‘Employee Privacy Notice’.
Automated decision-making
Some of the Company’s initial screening processes during recruitment are based solely on automated decision-making.
Your rights
As a Data Subject, you have certain rights. You can:
- access and obtain a copy of your data on request (known as a Subject Access Request);
- require the Company to change incorrect or incomplete data;
- request that the Company deletes or stops processing your data, for example where the data is no longer necessary for the purposes of processing;
- object to the processing of your data where the Company is relying on its legitimate interests as the legal ground for processing.
